The problem
The free WhatsApp Business app works for one person. The moment two people need to answer the same number, it breaks. Messages are missed, two staff reply to the same customer, nobody can see what was promised last week, and the whole history lives on one handset that leaves when that employee does.
There is also no connection to anything else. The enquiry arrives on WhatsApp and stops there, invisible to your CRM and your reporting.
What we set up instead
Official Business API access under your business name, with verification and, where you qualify, the green tick that tells customers they are talking to the real company.
On top of that a shared team inbox: assignment, internal notes, canned replies, and a full history against each contact. Everyone can see who is handling what.
How we work
- Verification. Meta business verification, display name, and the API provisioned on your number.
- Inbox. Team accounts, routing rules, assignment and templates.
- Automation. A bot covering the questions you actually repeat, with an immediate route to a human for anything else.
- Integration. Two way sync with your CRM, store or helpdesk so conversations and outcomes are recorded where the rest of the business can see them.
Designing the bot honestly
The purpose of the bot is to answer the boring questions instantly and get out of the way. Order status, hours, location, pricing, booking. Anything it cannot answer goes to a person quickly, with the conversation history attached, and the customer is told that is happening.
Who this is for
Any business where more than one person answers customer messages, or where WhatsApp enquiries currently vanish without reaching the sales pipeline.
Where the free app runs out
The free WhatsApp Business app is designed for one person on one phone. The moment two people need to answer the same number, it breaks in predictable ways.
Messages are missed because only one handset has them. Two staff reply to the same customer with different answers. Nobody can see what was promised last week. And when that employee leaves, the entire history walks out with the device.
There is also no connection to anything else, so an enquiry that arrives on WhatsApp is invisible to your reporting and your pipeline.
What verification actually gets you
Meta business verification confirms you are a real registered business. The green tick, granted separately and not to everyone, tells customers at a glance that they are talking to the genuine company rather than someone impersonating it.
In categories where fraud is common, that badge measurably improves reply rates. We prepare and submit the application and manage the resubmission if it is declined first time.
Designing a bot that people do not hate
The purpose of the bot is to answer the boring questions instantly and then get out of the way. Order status, opening hours, location, price ranges, booking.
Anything it cannot answer goes to a person quickly, with the conversation history attached, and the customer is told that is happening rather than being looped through menus.
A bot that tries to handle everything produces frustrated customers who stop messaging you at all. We deliberately keep its scope narrow.
Integration is the point
WhatsApp on its own is another inbox. Connected to your CRM it becomes part of the pipeline: the conversation attaches to the contact, the enquiry source is recorded, and the outcome is reportable alongside every other channel.
We build the sync both ways, so a status change in your CRM can trigger the right message and a reply on WhatsApp updates the record.
Message windows and templates
Outside a twenty four hour window after a customer message, you can only send approved templates. This catches many businesses out and produces the sensation that messages are silently failing.
We set up the template library, explain the rules to your team in plain terms, and configure the inbox so staff can see which conversations are inside the free window and which are not.
Cost and volume planning
Conversations are charged by category. A support heavy business and a marketing heavy business have very different bills at the same message volume. We model yours before setup and monitor it afterwards.
